What’s the opportunity:

Real Nation is recruiting for an Office and Operations Manager on a permanent contract to lead agency operations, office activities and compliance. This is a swiss-knife role and working as our Office and Operations Manager, your responsibilities include managing, implementing, and improving the daily operational activities of the agency and supporting the Heads of each of the following Departments; Events & Production, Experiential & Staffing, Design, Education and Strategy. You will report directly to the Financial Director, Head of Strategy and Managing Director.

To succeed as this Manager, you should have excellent interpersonal and organisational skills. Suitable Office/Operations Managers should be able to see and plan for the company’s future improvements whilst also playing a part in the effective every day running of the company.

Objectives of this role:

  • Develop, implement, and maintain quality assurance protocols and policies, ensuring all staff exercise good working practices and that targets are met, relevant policies and guidelines are upheld, and customer satisfaction is achieved
  • Maintain constant communication with Dept. managers, staff, and suppliers to ensure proper operations of the company
  • Manage overall functions of the day-to-day office, with a focus on continually increasing the efficiency of existing processes and procedures to enhance the company's internal capacity.
  • Oversee company compliance with Irish legislation and key rulings, both current and future, ensuring company policy & procedures are regularly reviewed, updated, and implemented; keeping staff up to date and informed of any changes.
  • Work with Head of Strategy and MD to identify and analyse the areas of potential risk threatening the success of the agency and suggest strategic solutions
  • Office and Operations Budget holder with responsibility for ensuring the implementation and adherence of financial systems and procedures across all departments. Additionally, oversee accounts payable and receivable departments, manage credit and cash spending, provide timely updates to the Managing Director, and ensure proper documentation for payments and accurate financial records. Work collaboratively with the Senior Management Team to track staffing requirements and oversee all HR requirements, including training and payroll. Additionally, you will line manage the HR and Office Administrator; ensuring adherence to correct systems and procedures, including record-keeping, and maintaining up-to-date contracts for all staff.
  • Oversee and efficiently manage the company's facilities and assets. Provide facilities management by planning and overseeing short and long-term projects, such as office relocations. Act as a liaison for building services and lease management, ensuring compliance with regulations and requirements.
  • Responsible for safety functions including emergency preparedness, disaster recovery, business continuity, and evacuation procedures and plans
  • Analyse and communicate agency performance levels (including areas of concern) and draw up action plans for improvement
  • All other job-related tasks as required by your manager.

Preferred skills and qualifications:

  • Bachelor’s degree (or equivalent) in Management, Office Management, Business Administration, Marketing, family business management experience or related field
  • Two or more years of proven success in an operations or office management role
  • Good understanding of business risk management and compliance
  • Strong skills in budget development and oversight
  • A sharp business mind and proven ability to develop and implement efficient and effective organisational processes.
  • Strong IT skills, (database development a bonus)
  • An ability to work effectively independently and as part of a team
  • An ambitious, positive and proactive mindset with the ability to make decisions, show initiative and solve problems

Contract Information:

  • Contract Type: Full-time, Permanent
  • Salary: ~€45,000
  • Place of Work: Real Nation Office – 94 Lwr Baggot Street, D2 (New office – Moving in September 2023). Currently still residing in Arran Quay, Dublin.
  • Must have full right to live and work in Ireland
  • Reporting to Head of Strategy, Financial Director and Managing Director
